Lotus Notes - Change in Hours - Contact Centre

Overview

To process a change in hours for a current team member, submit a Change in Hours form on Lotus Notes. This applies only if their total hours per week are changing, e.g. they currently work 20 hours per week and want to increase to 30 hours per week. Once this has been filled in and submitted, it will go to your direct manager to approve, and then to their manager for final approval. Once this is fully approved, People Support will create the amended contract and send it out via DocuSign. It will go to you first to review and sign, then onto the candidate to review and sign, and then onto the payroll team to update them in the system.

Contact Centre

On Lotus Notes, select the 'CC Change in Hours'. It will ask you 'Is this an increase in hours?'. If the answer is yes, it will ask you to select a 'pre-approved Personnel Requisition' from a drop-down list; select whichever role you are wanting to apply the team member to and then fill in all of the fields. If the answer is no, i.e. they are decreasing hours, you can proceed straight to the form. For support on this, see the below graphics with a breakdown of each section. Once this has been completed, click the 'Submit for Approval' button in the top left-hand corner of the page.
