1. What is recruitment?
Recruitment means finding and hiring people to fill job vacancies in an organisation. It involves determining the job’s requirements and placing the right candidate into the role.

2. Who is responsible for recruitment?
Recruitment is responsible by the hiring managers, if you are a manager needing to fill a role in your team, you will be accountable for starting and completing the process on Smart Recruiters.

3. I want to recruit a team member where do I go?
You will need to request a job vacancy in Lotus, once this is approved by your manager, you will then need to create a new job in Smart Recruiters.

4. What is Smart Recruiters?
A cloud based system that manages candidates through the recruitment process. It is accessed visa Okta or www.smartrecruiters.com, if you sign into Okta you will be automatically signed into smart recruiters. To get access to Okta you will use your normal network login and the password will be your IRD number.

5. How do I hire someone?
After you have received an approval for a new job through lotus you will then go into Smart Recruiters and click on create a job in the top right corner, and then follow the instructions.

6. I have forgotten how to use Smart Recruiters; how can I find a training guide?
You can use our video bytes; this will help guide you through the recruitment stages as you are doing them in real-life - they are located on LMS.

7. If a candidate hands me their CV in store how do I get them registered into Smart Recruiters?
You can easily input their details into Smart Recruiters via the Field Agent app. If you download this app you will be able to connect a walk-in candidate to a job you have open. You can then take a photo of their CV with the app and it will automatically load it into the system.

8. Once I have verbally offered the role to the candidate in Smart Recruiters what do I do next?
You will need to generate a contract in DocuSign, once the candidate has returned a signed copy you will need to go back into Smart recruiters and move them to ‘hire’ stage. (note: please reject all other candidates appropriately). The job will automatically close once all candidates are inactive.

9. Can I access Smart Recruiters on my mobile?
Yes, you can! Download Okta on your mobile phone and you will have automatic access.

10. I am stuck, who can I ask for help?
